This Privacy Policy explains how Tramify LLC ("Tramify", "we", "us" or "our") collects, uses, shares and protects personal information in connection with our website at https://tramify.com and the Tramify platform (together, the "Services"). It also explains the rights and choices available to you.

Who we are

Tramify LLC is a Florida limited liability company located at 504 W Plant St, Suite 101, Winter Garden, FL 34787, United States.

Tramify is a subscription-based business-management platform (software as a service) for service-based businesses. It offers CRM and pipelines, workflow automation, customer communications (for example, WhatsApp and Instagram through Meta's business APIs), forms and documents, appointments and tasks, and AI-assisted productivity features. Several capabilities are in early access or roll out in stages.

Our customers are businesses, not consumers. Tramify is not a law firm, immigration consultant, tax firm, CPA firm or government agency, and it does not provide legal, financial or immigration advice. Some of our customers are visa-service agencies; each customer remains solely responsible for the services it provides to its own clients.

Our role: controller and processor

We handle two kinds of personal information, and our role is different for each.

  • Our own data: for account, billing, website and contact-form information, and for our communications with you, Tramify decides how and why the information is used. We act as the controller (or "business", under U.S. state privacy laws).
  • Customer Data: our customers upload and manage personal information about their own clients, prospects and contacts in the Services ("Customer Data"). For Customer Data, Tramify acts as a service provider or processor. We process it only on the customer's instructions and under our agreement with that customer, including our Terms of Service. The customer is the controller and is responsible for having a lawful basis for the processing and for giving any required notices to its clients.

How a customer uses Customer Data is governed by that customer's own privacy notice.

Information we collect

  • Account information: name, business name, email address, phone number, role, login credentials and the settings of your account and of the users you invite.
  • Billing information: billing name and address, plan, subscription and transaction history, and tax details where applicable. Payments are processed by our third-party payment processor, Stripe. Tramify does not store full card numbers.
  • Usage and log information: IP address, browser and device type, pages and features used, dates and times of access, error logs, and audit logs that record access to and changes within the Services.
  • Contact-form information: the name, email address, business name, phone number (if you provide it), reason for contacting us and message you send us through our website, any other details you choose to include, and the IP address and browser information of the submission.
  • Communications: the content of emails, support requests and other messages you exchange with us, and related metadata.
  • Customer Data: any personal information that customers and their users enter into, upload to or receive through the Services, such as contact details, case and appointment information, forms, documents and messages exchanged with their clients through connected channels like WhatsApp and Instagram.

We collect this information from you, automatically when you use the Services, and from our service providers (for example, payment confirmations from Stripe).

How we use information

We use our own data to:

  • create and manage accounts, authenticate users and provide the Services;
  • process subscriptions, free trials, payments, renewals and cancellations;
  • provide customer support and respond to contact-form requests and other inquiries;
  • send service, security, billing and administrative messages;
  • maintain, secure and troubleshoot the Services, and prevent fraud, abuse and unauthorized access;
  • improve the Services and plan new features;
  • comply with legal, accounting and tax obligations, and establish, exercise or defend legal claims.

We use Customer Data only to provide the Services to the relevant customer, in accordance with that customer's instructions and our agreement, including to secure and support the Services and as required by law.

When a user invokes an AI-assisted feature, the content needed for that request is sent to an AI model provider to generate the output. We do not sell personal information, and we do not share it for cross-context behavioral advertising.

Legal bases for processing

Where the law requires a legal basis, such as the EU General Data Protection Regulation (GDPR), we rely on:

  • performance of a contract, to provide the Services and manage subscriptions;
  • our legitimate interests, to secure, support and improve the Services, communicate with business contacts and prevent fraud, balanced against your rights;
  • compliance with legal obligations, such as accounting, tax and responding to lawful requests;
  • your consent, where required. You can withdraw consent at any time without affecting processing that took place before.

For Customer Data, the customer as controller determines the applicable legal basis.

How we share information

We share personal information with service providers that help us operate the Services, only as needed for them to perform their services for us:

  • Cloud hosting: Hetzner, with data centers in the European Union.
  • Email and productivity: Google Workspace.
  • Payment processing: Stripe.
  • Messaging APIs: Meta (WhatsApp Business and Instagram), when a customer connects these channels.
  • AI model providers, such as Google Gemini and OpenAI, for AI-assisted features.
  • An electronic-signature provider, for document-signing features, once they are available.
  • Object storage for documents, once it is available.

We may also share information:

  • with professional advisers, such as lawyers and accountants, under confidentiality obligations;
  • when required by law, legal process or a lawful request from public authorities, or to protect the rights, property or safety of Tramify, our customers or others;
  • in connection with a merger, acquisition, financing or sale of all or part of our business, subject to this Privacy Policy;
  • with your consent or at your direction.

International data transfers

Tramify is based in the United States and our hosting infrastructure is in the European Union. Our customers and users may be in the United States, Latin America (for example, Colombia), the European Union and elsewhere, and our service providers may process information in the United States and other countries. Personal information may therefore be processed in countries whose data protection laws differ from yours.

Where required by applicable law, we protect these transfers with appropriate safeguards, such as the European Commission's Standard Contractual Clauses or other lawful transfer mechanisms.

Retention

  • Account and billing data is kept while the account is active and for a reasonable period after it closes, for legal, accounting and security purposes.
  • Audit logs and signed documents may be kept longer where required by law or by the customer's configuration.
  • Customer Data is deleted or returned at the end of the customer relationship, according to the customer's instructions and our agreement.
  • Contact-form messages and other communications are kept as long as needed to respond and to maintain a record of the relationship.

When information is no longer needed, we delete or de-identify it.

Security

We use reasonable technical and organizational measures designed to protect personal information, including:

  • HTTPS/TLS encryption for all connections;
  • role-based access and controlled user permissions;
  • audit logs of access and changes;
  • cloud-based infrastructure;
  • logical separation of each customer's data, and dedicated databases on higher plans.

No system can guarantee absolute security. Keep your login credentials confidential and tell us promptly at support@tramify.com if you suspect unauthorized access to your account.

Cookies

Our website and app use only strictly necessary cookies: session cookies that keep you signed in, and security cookies, such as CSRF protection, that help prevent fraudulent requests. You can block or delete cookies in your browser, but parts of the Services may then stop working.

We do not use analytics or advertising cookies at this time. If that changes, we will update this Privacy Policy and ask for your consent where the law requires it.

Your rights and how to exercise them

Depending on where you live, you may have some or all of the following rights over your personal information:

  • to access it and obtain a copy;
  • to correct or update it;
  • to delete it;
  • to restrict or object to certain processing;
  • to data portability;
  • to withdraw consent, where processing is based on consent.

If you are in the European Economic Area, these rights arise under the GDPR, and you may also lodge a complaint with your local data protection authority.

If you are in Colombia, under Law 1581 of 2012 you have the right to know, update and rectify your personal data, to request proof of your authorization, to be informed of how your data is used, to revoke your authorization or request deletion where appropriate, and to file complaints with the Superintendence of Industry and Commerce (Superintendencia de Industria y Comercio).

If you are in a U.S. state with a consumer privacy law, you may have the right to know, access, correct and delete personal information, and to opt out of its sale or use for targeted advertising. As noted above, we do not sell personal information or use it for targeted advertising. Where the law provides one, you may appeal our decision on your request by replying to our response.

To exercise any of these rights, email legal@tramify.com. We will verify your identity before acting on a request, and we will respond within the time required by applicable law. You may use an authorized agent where the law allows it. We will not discriminate against you for exercising your rights.

End clients of our customers

If you are a client of a business that uses Tramify, that business is responsible for your personal information in the Services. Please contact that business first to exercise your rights or to ask about how your information is used. If you contact us, we will refer your request to the relevant customer and assist it as our agreement and applicable law require.

Children

The Services are not directed to individuals under 18, and we do not knowingly collect personal information directly from them. A customer may include information about minors in Customer Data (for example, family members in a client's file); in that case the customer is responsible for obtaining any authorization or parental consent that the law requires. If you believe we have collected a minor's personal information directly, contact legal@tramify.com and we will delete it.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will change the "Last updated" date above. If the changes are material, we will give notice through the Services or by email before they take effect.
